Booking Policy

This policy explains how our booking system works, how payment is handled, and what happens if you need to cancel or reschedule. We’ve kept it fair and simple.

1. How to book

Drop-off slots can be booked online at any time through our website. Choose the service that best fits what your bike needs — if you’re not sure which to pick, just choose the closest option and we’ll assess the work properly when you arrive. Pay upfront to confirm your slot and a booking confirmation will be sent to your email address straight away.

For services, we recommend booking in advance to secure your timeslot. For smaller repairs and one-off jobs, walk-ins are always welcome on a first-come, first-served basis, subject to our service schedule on the day.

2. Payment

Full payment for your service is taken at the time of booking. This secures your slot and means there’s nothing to pay at collection unless additional parts have been agreed during the repair.

Paying upfront keeps our diary fair for everyone — it ensures booked slots go to people who genuinely intend to use them, and helps us prepare properly for your visit.

3. Cancellations and rescheduling

We understand that plans change. Here's how it works:

  • Cancel or reschedule with more than 24 hours' notice: your full payment will be refunded, no questions asked.

  • Cancel with less than 24 hours' notice: you will receive a refund less a £10 administration fee. This covers the time slot we’ve set aside for you.

  • No-show (you don’t arrive and haven’t contacted us): no refund will be issued. Your slot is held exclusively for you and we are unlikely to be able to fill it at short notice.

4. If we need to change your appointment

We’re an outdoor kiosk and occasionally our hours may be affected by weather or other circumstances beyond our control. If we ever need to cancel or reschedule your appointment, we’ll contact you as quickly as possible and offer a full refund or an alternative slot — whichever you prefer.

5. Preparing for your visit

To help your drop-off go smoothly:

  • Please arrive at your booked time — drop-off takes around 10–15 minutes

  • Remove personal items from your bike: locks, bags, lights, phone holders

  • Tell us everything you've noticed — the more detail the better

  • Make sure we have your correct mobile number and email so we can reach you when the bike is ready

6. Your confirmation email

Your booking confirmation will include:

  • Your appointment date and time

  • The service selected

  • Amount paid and summary of service booked

  • Our address and what to expect on arrival

  • A link to cancel or reschedule if needed

If your confirmation doesn't arrive within a few minutes of booking, check your junk folder first — then drop us a line at service@thecommoncyclist.com.

7. Your data

We use your name, email and mobile number to manage your booking and keep you updated. With your permission, we may also send you occasional news about our services. See our Privacy Policy for full details on how we handle your information.
